PROJECT “Stronger Together”

In order to implement the activities of the project “Stronger Together”, including dissemination of the memorandum and encouraging company participation, Valmiera Development Agency (hereinafter – the Agency) processes personal data of individuals and legal entities, observing privacy rights and the applicable data protection legislation.

Purpose of the privacy notice

The purpose of this privacy notice is to inform individuals and companies about which data is processed within the framework of the “Stronger Together” project, for what purposes, and on what legal basis. The policy also outlines data processing principles, protection measures, and data subject rights in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council (GDPR).

This policy applies to all data subjects whose data is processed in connection with project activities – for example, company representatives who fill in application forms, sign the memorandum, or otherwise participate in the project. Data may be collected in both paper and electronic formats.

Location of personal data processing

Personal data is processed by the Valmiera Development Agency, regardless of where or how the data was collected.

Purpose of data processing

Within the framework of the “Stronger Together” project, personal data is processed to:

  • Distribute information about the memorandum and its goals;
  • Encourage business participation in project activities;
  • Maintain communication with companies showing interest or involvement in the project;
  • Compile statistics on company participation;
  • Ensure transparency and accountability throughout the project’s implementation.

Legal basis for processing

Data processing is carried out based on the following legal grounds:

  • Public interest – promoting public awareness of inclusive working environments and business responsibility;
  • Consent of the individual – when data is used for informational or publicity purposes;
  • Compliance with legal obligations – for example, to meet documentation requirements tied to project funding.

Sources of personal data

The Agency obtains data:

  • Directly from company representatives providing information about themselves or their business during registration or communication;
  • Via the project website or email, if forms or applications are completed;
  • From third parties, where provided for by law or funding agreements.

Public events and information sharing

During project activities (e.g., discussions, signing events, training seminars), photography and/or filming may take place. These materials may be used:

  • To inform the public about the project’s progress;
  • In project reports or communication with funders;
  • For publication on social media or in the media.

Participants will be informed in advance via the event agenda, on-site notices, or other communication channels.

Data protection and storage

Data security is ensured through appropriate technical and organisational measures. Data is stored only for as long as necessary to achieve the purposes outlined above or as required by law.

Rights of the data subject

Each person has the right to:

  • Access their personal data;
  • Request rectification, deletion, or restriction of processing;
  • Withdraw consent, if that was the basis for processing;
  • Submit a complaint to the supervisory authority (Data State Inspectorate).
